Executive Assistant

About the role

The United Nations Resident Coordination Office in Maputo is seeking an Executive Assistant to support the Resident Coordinator (RC) and ensure the smooth operation of the RC front‑office. The role requires strict confidentiality, high‑level organizational skills, and the ability to manage a demanding schedule in a dynamic, multilateral environment.

Key responsibilities

• Maintain the RC’s calendar, arrange appointments, and provide protocol coverage for meetings and events.
• Prepare briefing materials, draft correspondence, minutes, and Note Verbales, and ensure all documents meet UN standards.
• Manage travel logistics, including flight bookings, security clearances, and post‑trip reporting.
• Maintain contact lists of high‑level partners, UN agencies, and diplomatic corps.
• Organise official events and high‑level visits, coordinating logistics and security requirements.
• Maintain the filing system in Microsoft Teams/SharePoint, ensuring confidentiality of materials.
• Screen incoming calls and correspondence, and coordinate the RC’s driver activities.

Required profile

• Proven experience supporting senior officials in an international or diplomatic setting.
• Demonstrated ability to handle confidential information with discretion.
• Strong organizational and time‑management skills, with attention to detail.
• Excellent written and verbal communication skills in English.
• Familiarity with UN protocols, procedures, and documentation standards.
